Zoom is well suited for in room and virtual video meetings, connecting anyone from anywhere with any device, including traditional video conference hardware systems such as Cisco, Poly and many others.

  • Zoom meetings in centrally bookable video conference enabled rooms are automatically connected provided the unedited Zoom invite is forwarded to videoconferencing@jcu.edu.au.

    In AV rooms without video conference equipment, the participant(s) is advised to use the in house all-in-one Dell PC or a laptop, to connect to Zoom. For video and audio quality purposes you must remain stationary in front of the PC/laptop to be seen and heard throughout the meeting.
  • How to run a successful video conference
  • If you are in a videoconference enabled room, connected to Zoom, please avoid connecting to Zoom on the AiO Desktop room PC or a personal portable device (laptop, tablet, smartphone) as this is likely to introduce feedback and will severely compromise the audio quality. Mute the room microphone by using the Cisco remote control. In-room microphones are particularly sensitive and designed to pick up the minutest sounds, ensure you are not rustling papers or tapping pens near these, as the noise can be extremely distracting for remote participants.

  • To avoid unwanted surprises when joining a zoom event, it is recommended you test your camera and microphone prior to joining the real event. Make a test call

  • Zoom meetings are ideal for hosting interactive sessions where audience participation is required and where breaking participant into smaller groups is an option.

  • Think of webinars as a virtual lecture hall or auditorium. Webinars are ideal for large audiences or events that are open to the public. Typically, webinar attendees are generally silent consumers of content presented by one or more panellists, but can be invited to participate actively with camera and microphone. Similar to Zoom meetings, attendees can automatically or manually be grouped into smaller breakout rooms.

What is a Zoom Room

A Zoom Room is a software-based meeting room system, used for video conferencing and wireless content sharing,

Room equipment typically:

  • large wall mounted TV/monitors
  • camera,
  • microphone
  • speakers
  • commonly, in small to medium meeting rooms, an all-in-one bar with camera, microphone and speakers inbuilt are installed.
    At JCU Neat bars, and Rally Bars are installed

Each room is allocated an Outlook Calendar Resource used for the purpose of automating the connection to a scheduled Zoom event. Please include the allocated calendar resource in the Zoom event invitation.

Sharing Laptop

  1. Launch the Zoom client on the laptop
  2. Click on the Share Screen button
  3. Enter the sharing key which is shown on the room display

Share iPhone/iPad

  1. Join the meeting (Meeting ID/passcode)
  2. Touch Share Content button
